What you need to know about Marketing and Public Relations Projects:
How much notice does MPR need to complete a request?
All requests must be submitted at least three weeks in advance of your deadline. Timelines vary for each project. Complex projects require more time and should be submitted 6-8 weeks out. Please keep in mind that the Marketing and Public Relations Department serves the entire campus and maintains a project schedule to ensure projects are completed. We will do our best to complete your project as requested; however, please remember that there are times other projects are given priority due to their critical nature; in these cases your project may be delayed. The marketing office will contact you if they cannot complete your project or anticipate a problem meeting your deadline.
What if I need something done right away?
Rush projects will be considered on a per project basis. The submission of a project request does not guarantee that your project will be completed or that it will be completed by the requested deadline. If your project is a department or division priority and must be completed in a short timeframe, please notify and receive the approval of your Department Administrator in advance of contacting the Marketing and Public Relations Department.
What do I need to know about printed projects?
Work on printed projects often includes concept, design, proofing, and printing. If your project must be sent to an outside printer, please allow at least two additional weeks of printing time. Larger publications and custom pieces (i.e. course schedules, catalogs, etc) take longer. If your project will be printed in house, please allow at least one additional week of printing time to ensure problems with the printer or other jobs do not interfere with your schedule.
What do I need to know if my project needs to be mailed?
If you are planning to mail a piece created by the marketing department, please keep the following in mind: The standard size for a postcard is 4x6. Postcards this size receive the lowest postage rate and are typically the most cost effective. Larger postcards do cost more but make a bigger impact. Any brochure, catalog, book, etc MUST be tabbed on three sides before mailing. Invitations and materials for events should be mailed 6 weeks in advance of the event date. The post office can hold materials from 1-14 days depending on their schedule. Please keep this in mind when planning “in-mailbox” dates. It typically takes about one week for items to reach mailboxes after being delivered to the post office. A minimum quantity of 200 is required to qualify for nonprofit bulk mailings. Please indicate whether the bulk mailing permit should be pre-printed on your piece. You are responsible for arranging mailing services with the Campus Mail Center or external mailhouse.
How many opportunities will I have to make corrections?
In most cases, you will have only one opportunity to make corrections before the final proof is created for routing. Marketing and Public Relations will provide a proof to you. If additional personnel need to review and approve proofs, it is your responsibility to get the proof to them in the allotted time frame.
How can I help make sure my project stays on track and on budget?
Delay in providing text, photos or additional information necessary for the completion of a job may cause a delay in completing your job by the requested deadline. Please make every effort to provide text, photos and other pertinent information when the project request is submitted. Please remember that any items requiring an external budget expenditure must be approved by your Department Administrator. Tip: Having text approved by the appropriate supervisor prior to submitting project requests to marketing will help the process go smoothly.
How do I place an order for business cards?
Please submit a work request for revisions or the creation of a business card. Please provide the correct copy to the Marketing and Public Relations Department at the time of the request. Due to a State Contract, the Department must utilize services of a specific vendor. Please allow 3-6 weeks for your business card to arrive on campus.
How do I request that a message be placed on the Carter Partnership Center Marquee?
Please submit a work request for a marquee message. Please allow at least three weeks notice for a marquee message request. You can submit your request for a marquee message as far in advance as you would like. Please realize that scheduling conflicts can occur. Messages will be selected by priority and date received.
How do I post a flier on a Marketing and Public Relations bulletin board?
The Marketing and Public Relations Department is responsible for several bulletin boards around campus. There are seven Delaware Tech related boards – these contain information about campus events/info. We also oversee one job posting board and two community boards. All items posted on the bulletin boards must be approved by the Department and will be posted for a maximum of one month. Please submit items to be posted at least two weeks in advance of when you would like the items to appear.
How do I place an order for letterhead and envelopes?
Letterhead and envelopes are only ordered one time per year. The marketing budget covers the expenses for these items except in the cases of CCP and grant funded programs. The marketing office will contact you to find out how many of each item you will need and coordinate the campus wide order. Distribution will occur in August or September.
What types of projects are NOT handled by MPR?
Banners/Signs – Please check with Administrative Services if you are in need of a banner or sign to see if they can meet your needs. If you need the assistance of the Marketing and Public Relations Department to design the artwork, please let us know. If the banner/sign needed can not be provided by Administrative Services, please then contact the Marketing and Public Relations Department.
Newsletters – Newsletters are not created by the Marketing and Public Relations Department. However, the Department will provide you with a template to enter text into and will proof and review the final version of the newsletter prior to printing.
Photography – Photography is provided by the campus A/V Department. Please submit a work request to the Media Services department.
